Manor Vail Lodge is one of Vail’s original and iconic properties. The Director of Events is responsible for the sales, coordination and execution of all events including catering and conference service events. Must demonstrate exceptional sales skills to provide solutions to prospective customers over other catering facilities.

-earns between $65k-$80k plus a potential bonus up to 10% or Sales incentive TBD

What you will have an opportunity to do:

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Actively solicits new business opportunities through prospecting new customers and using network channels to open doors to new customers, mainly weddings and social events.

Qualifies business according to department guidelines and presents business opportunities in daily sales business review.

Highly responsive to customer needs and visions with solutions matching property offerings at profitable means.

Assists Group Sales team with banquet services, set up requirements and AV information when requested for proposals.

Develops tactics to find new customers and retain them, including tangible efforts in prospecting, sales calls, entertainment and site inspections.

Meets or exceeds financial sales goals of both booking pace and actual revenues on a monthly, quarterly and annual basis.

Must exhibit accuracy of iVvy catering software efficiencies to support sales and service activities.

Executes details of pre-planning events to assist customers with proper information and forethought to produce well-prepared event orders and resumes.

Advise group leaders on banquet menu selection to maximize a group’s budget.

Create Event Orders for all catering and banquet functions.

Maintain Banquets BEO (Banquet Events Order) binder, Analyze/plan/staff for events, attend weekly BEO meetings to clarify questions and adjust operational needs. Bring concerns to one up manager.

Create the banquet staffing schedule and distribute in a timely manner while approving and recording shift changes.

Develop and distribute training materials for all service-related positions to ensure food and beverage quality service.

Post Event Schedule weekly and update all meeting room signage daily.

Event orders are prepared accurately and timely to allow operations department leaders to execute effectively.

Be primary contact for group leaders who require conference space or banquets.

Responsible for planning and ordering table linen, non-alcoholic beverages and any items needed on the upcoming Banquet Event Orders.

Visible to customers at time of event and executes seamless transition to operations.

Communicate with Banquet Captains and F&B staff group requests, F&B and meeting/event needs including specialty requests i.e. wines, food allergy needs, etc.

Prepare a 90-day rolling forecast to projected revenues to include definite business and prospective sales closures.

Assist in the preparation of the annual budget and marketing plans.

Knowledge of vendor resources and products for up-sell opportunities (other income).

Assist with telephone coverage and general administrative duties of the Sales Office.

Maintains a positive attitude and professional appearance on behalf of Manor Vail Lodge.

Attend and participate in the appropriate Food & Beverage and Sales Meetings, and weekly Manager’s Meetings.

Schedule and conduct pre-con and post-con meetings with staff and group leaders.

Ensure banquet/meeting rooms, conference space and support space are always in presentable condition (i.e. clean, all light bulbs in working order, furniture properly arranged, lights turned off when not in use, maintenance done on a timely basis, etc.)

Perform accounting functions included but not limited to billing as well as ensuring that all cash and accounting procedures are accurate and timely. Post Banquet Checks to Master Account as needed.

Coordinate and manage Banquet/F&B Team staffing, reviews, schedules, and manage the service charge distribution process.

Education/Experience:

Bachelor’s degree (B. A.) from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.

Language Ability:

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Math Ability:

Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Reasoning Ability:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills:

To perform this job successfully, an individual should have knowledge of MS Office Products, InfoGenesis and iVvy Catering Software.

Certificates and Licenses:

Valid Drivers’ License. TIPS or Responsible Service Training Certified.

Supervisory Responsibilities:

Coordinate and manage Banquet Staff, distribute the service charges appropriately, payroll processes, etc.
