Title:                                 Camp Office Supervisor

Reports to:                      Executive Camp Director

Roundup River Ranch enriches the lives of children with serious illnesses and their families by offering free, medically-supported camp programs that provide unforgettable opportunities to discover joy, friendships and confidence.  The Camp Office Supervisor will further the mission of Roundup River Ranch through the administrative support of the Executive Camp Director, camper recruitment team, volunteer recruitment team, and proactive office management.  This position is responsible for coordinating all administrative and office needs for Camp.

Core Responsibilities

General Office Support

  • Maintain front desk / reception coverage during core business hours
  • Greet and register site visitors, assemble gift bags, and coordinate follow up thank you notes
  • Answer, respond to, and transfer incoming calls. Maintain updates to the phone answer tree
  • Respond to main gate entry requests
  • Complete check registers, prepare and make bank deposits that come into Camp
  • Securely manage petty cash resources and accounting at Camp
  • Ensure general office, conference room, reception area and kitchen cleanliness through regular cleaning and organizing.
  • Proactively ensure office and kitchen general supplies are ordered, available, organized and replenished
  • Assist with coordinating meeting arrangements, resources, and conference lines
  • Oversee maintenance of office equipment, including copier, printer, fax and phone basic functions; support staff with basic trouble shooting. Promptly schedule copier / printer support as needed and communicate with staff concerning office equipment outages
  • Oversee all incoming and outgoing Camp mail and deliveries, including the mailing of program supplies for boxed programs
  • Ensure full coverage of administrative support through communication and collaboration with other administrative staff

Executive Camp Director Support

  • Provide Executive Camp Director with clerical support
  • Code receipts and prepare expense reports
  • Prepare draft correspondences as needed, support branding documents, and editing
  • Provide meeting support including scheduling
  • Support compliance needs of childcare licensing, health department requirements, SeriousFun Children’s Network Criteria, and American Camp Association Accreditation.
  • Other duties as assigned.

 Program Support

  • Responsible for all supply and equipment purchases.
  • Coordinate administrative support of box building and mailing for Camp In Your Community boxes, Camp Kits, and Joy Delivered boxes.
  • Coordinate seasonal staff application process including coordinating interviews, processing paperwork, and supporting travel logistics.
  • Other duties as assigned.

 Camper Recruitment Support

  • Compile required camper paperwork, under the direction of the Camper Recruiter Team.
  • Oversee completion of session specific paperwork processing including name tags, allergy lists, alert lists, cabin binders, etc.
  • Organize camper t-shirts including distribution.
  • Support parent phone calls, camper mail, and camper emails.
  • Coordinate camper lost and found.
  • Other duties as assigned.

Volunteer Recruitment and Administration Support

  • Compile required volunteer paperwork.
  • Set up interviews as needed.
  • Support volunteer groups.
  • Other duties as assigned.

Qualifications

  • Passion for the Roundup River Ranch Mission
  • Bachelor’s degree preferred
  • Previous experience working in an administrative capacity
  • Advanced computer skills, including database management experience, are a requirement
  • Strong written and verbal skills are required
  • Solid collaboration and team building skills
  • Must be able to proactively problem solve

Special Conditions
This is a full-time, year-round position with significant time demands in the camp season.  This position is based at the Roundup River Ranch campsite in Gypsum, Colorado and is not a residential position. The position requires some flexibility in days worked and time of day worked to ensure supervision and coordination of camper arrival and departure days and to maintain open lines of communication and follow up during transportation of campers to and from camp.  Some travel may be required.
